Mitigating circumstances

How, where and by when to submit

Students who consider there are personal circumstances, e.g. illness, death of close family member (e.g. parent), which may affect their preparation for and/or performance in the examination, must communicate these in writing using the Application for Mitigating Circumstances form [Word] (even if you have previously submitted documentation). You are required to make a submission via email to feo.mitcircs from your Imperial College account only. Submissions from your personal email account, i.e. hotmail, will not be accepted.
Any such submissions must be accompanied by a copy of independent corroborating documentation e.g. medical certificates, GP’s letter and death certificates as appropriate.  We strongly advise that you visit your Personal Tutor if you have any such personal circumstances in order to receive the support they can provide.
When you are sent details about your examinations, you will be invited to submit mitigating circumstances at that time. Following this invitation you should ensure that any such submissions are received no later than 5 days after the first day of your examinations.

Late submissions:
If you are unwell during the examination period, you should see your doctor as a matter of urgency and obtain a medical certificate or a GP’s letter. Please email feo.mitcircs informing them that you are currently unwell and will be submitting a late application for mitigating circumstances.  Please then use the link above to access the required form and submit this as above with the appropriate documentation.
If something happens at the last minute to prevent you attending one or more of your examinations you should obtain independent corroborating documentation e.g. doctor’s letter, Police crime reference number.  Please email feo.mitcircs informing them that you have not been able to attend an examination and will be submitting a late application for mitigating circumstances.  Please use the link above to access the required form and submit this as above.
Submissions not using the attached pro forma or unsupported by independent verified documentation will not be considered.

The Process
The Mitigating Circumstances Panel recommendations are passed to the Examination Board for a final decision.  
Mitigating Circumstances will only be acted upon if a student exhausts the permitted number of opportunities to pass any examination, (2 opportunities permitted in Years 1, 2, 3 & GE Year 1).  At this time the Board of Examiners may permit a student a final exceptional opportunity to progress into the next year; this opportunity may be granted on the condition of additional attendance.

Please note: Irrespective of the outcome of this Panel, all students are required to pass each examination in order to progress and no additional marks will be awarded by any Examination Board.
