Uploading teaching files for use in lecture theatres or for the intranet

This describes how teaching materials can readily be used in the Lecture Theatres and placed so that they can be uploaded for the intranet without resort to email - see also the general instructions for intranet submissions.

1. In the Lecture Theatre
Every teaching room PC shows a desktop shortcut icon ('Undergrad Med Lectures') following a logon to the IC domain. This shortcut is a link to a series of folders for the Charing Cross, St Mary's, Chelsea and Westminster and South Kensington campuses and within these, each room.

If you wish to make your material available on the intranet and have not otherwise submitted, you can copy your file(s) to the appropriate 'room location' folder at the start or end of your lecture. Then learning resources team will pick up the file from the network and place on the intranet. We will delete files as soon as the date for their use has expired, although we will copy to the intranet as soon as we see the file.

Note - you can drop files into these folders but you will not be able to amend or delete a file. If you need to amend the file, send another version. Also note that, as in the case of emails to webmaster.feo, others can see the file.

Please ensure that each file has a suitable title and that the title slide of the presentation has the course title, lecture title and your name on it.

If you are posting the file ahead of time into this depository, an email to webmaster.feo will be appreciated so as to alert us. If you upload the file to this location ahead of time, it will be available for your use in the LT for when you give your talk. You can access the depository from your office or remotely, as follows:

2. Via the Network
e.g. your office

Windows users - copy the following text into the Windows START/RUN dialogue box.
\\icfs1\group\fom\UG-Lects

Mac users have more to do…
1) GO Menu - Select CONNECT TO SERVER
2) Type smb://icfs12.cc.ic.ac.uk/group/fom/UG-Lects (the server identifier is different for Mac users due to the way in which network addressing information is passed between Windows servers and Mac client systems)
3) Enter your College userid and College password, ensuring that WorkGroup/Domain is set to IC

3. Remote access
e.g. from home, set up a VPN connection and then connect to the server address as above.

4. File Exchange service
This service allows you to share files independently of the email server by upload (up to 2Gb per file) to a centrally-managed server. Please note that very large teaching files are undesirable. FileExchange is available at https://fileexchange.imperial.ac.uk
It also permits sharing of non-emailable files, for example executable files.

Please send an email to webmaster.feo with details of the location of your uploaded file and we will then download. The server autodeletes files 14 days after upload. The system allows one file upload at a time, but you can make multiple uploads. You can also use the service to provide external collaborators access to files without the hindrance of email quotas.
